OVERVIEW

A commercial food testing laboratory managing high sample volumes across multiple client accounts required a structured LIMS platform to replace spreadsheet-based processes that could no longer scale with the business.

The laboratory was processing several hundred samples per week across multiple food matrices and regulatory test panels. Sample progress was tracked manually, results were captured in spreadsheets and Certificates of Analysis were prepared individually for each client. As volumes grew, the manual approach became a bottleneck — analysts spent significant time on administrative tasks and management had limited visibility into the laboratory's capacity and backlog.

SpaceSoft LIMS was configured to the laboratory's specific workflows, test panels and client requirements. Sample registration was structured with barcode printing at intake. Results capture was moved into the system with configurable validation rules and a two-step verification process. Certificate of Analysis templates were built to match the laboratory's existing report formats, with automated generation from verified results.

Within the first quarter of operation, the laboratory eliminated paper-based sample tracking entirely. COA preparation time was reduced significantly through automated generation from verified results. Management gained real-time visibility into sample volumes, analyst workloads and outstanding results through the management dashboard.
