A multi-site organisation operating a laboratory management system, a finance platform and a separate reporting environment needed to eliminate manual data transfer between systems that was creating errors and delays in cross-departmental reporting.

Finance required client and job data from the laboratory management system to generate invoices. The reporting environment needed results data from the laboratory and cost data from finance. All of this data was being transferred manually — exported from one system, reformatted, and imported into another. The manual process created errors, introduced delays and meant that management reports were never based on fully current data.

SpaceSoft designed and implemented a custom integration layer that automated data flows between the three systems. Laboratory job completions triggered automatic synchronisation of billing information to the finance system. Results data and financial data were pulled into the reporting environment on a scheduled basis without manual intervention. Exception handling and logging was built into the integration to surface errors for investigation.

Manual data transfers between systems were eliminated entirely. Finance received billing data automatically on job completion. Management reports were generated from current, automatically synchronised data across all three platforms. The integration layer also provided an audit log of all data movements between systems for reconciliation purposes.
